This statement explains how Dynamic Distribution collects and uses personal information, what your rights are, and how to contact us about them. It covers this website and the fulfilment, warehousing and distribution services we provide.

For most of the information described here we are the data controller, which means we decide why and how it is used. For one important category we are not, and the next section explains why that distinction matters.
Almost everything we do is business to business, so the personal information we hold falls into two very different groups.
We are the controller for information about the people we deal with directly: enquiries made through this website, contacts at our clients and suppliers, job applicants, and visitors to our site. We decide what to collect and how long to keep it, and this statement governs it.
We are a processor for the delivery information our clients pass to us so that we can fulfil their orders. When a client sends us an order to pick, pack and despatch, that order carries the name, delivery address and usually the phone number or email of their customer. That customer is our client's customer, not ours. We act only on our client's written instructions, we do not use the information for our own purposes, we never market to those people, and we do not sell or share the data with anyone except the carrier who needs it to complete the delivery.
If you have bought something from a retailer and it was delivered by us, the retailer is the controller and its privacy policy applies. We will always help, but the fastest route is to contact the retailer you bought from. If you contact us instead we will pass your request to them and tell you that we have done so.

We do not carry out automated decision making or profiling that produces legal or similarly significant effects, and we do not seek special category data. Please do not send us health or other sensitive information in an enquiry form.
We share personal information only where it is needed to do the job:
We do not sell personal information, and we do not share it for anyone else's marketing.
Most of what we hold stays in the UK or the European Economic Area. Where a supplier we use stores data elsewhere, we rely on UK adequacy regulations, or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with the additional safeguards those require. You can ask us which mechanism applies to a particular supplier.
We keep information only as long as we actually need it:

Where a period is set by our contract with a client, that contract prevails for the data we process on their behalf.
We use access controls, encryption in transit, and role based permissions in our systems, and we restrict who can see personal information to the people who need it for their job. We keep records of processing, we assess our suppliers before we use them, and we have a procedure for reporting personal data breaches to the Information Commissioner's Office within 72 hours where the law requires it, and to affected individuals where the risk to them is high.

There is no charge, and we will respond within one month. If your request concerns delivery information we hold for a client, we will pass it to that client, because it is their decision to make as controller.
We only send marketing emails to business contacts who have asked for them or who have an existing relationship with us, and every message has an unsubscribe link. Unsubscribing does not affect the service emails we have to send about work in progress.
Please raise any concern with us first, using the details below, and we will try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk, by calling 0303 123 1113, or by writing to Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
We review this statement at least once a year and whenever our processing changes. The date at the top tells you when it last changed.
